Administrative Assistant
Waltham, MA
20/hr


Responsibilities:

  • Greet and assist all walk-in visitor traffic 
  • Screen incoming calls, answer general questions as necessary and refer matters to appropriate parties
  • Assist in planning and organizing meetings. May be required to prepare meeting notes.
  • Help facilitate company events; pancake breakfasts...etc.
  • Maintain calendars and appointments
  • Effectively manage calendars, schedule meetings
  • Assist in follow-up of action items from meetings
  • Manage confidential information
  • Maintain cleanliness of kitchen and order kitchen supplies
  • Order office supplies and control inventory
  • Sort and distribute mail
  • Prepare presentations if needed
  • Assist any department as required
  • Set up new employees with work space and business cards
  • Effectively manage multiple priorities in a fast-paced and demanding environment
  • Perform clerical duties as requested by senior management
  • Accurately perform ad hoc projects as requested

Requirements:

  • High Energy, Reliable, Detail Oriented
  • Excellent communication (oral and written) skills
  • Excellent time management skills
  • Ability to handle highly confidential information with discretion
  • Microsoft Office packages including MS Outlook, Word, Excel, PowerPoint
  • Travel Management software (Concur desirable)
  • Collaborative style and positive attitude
  • Ability to multi task
  • Bachelor’s Degree preferred
  • 5-10 years’ experience; ideally some of that being as a receptionist/admin/office manager..etc
