Events Coordinator
Boston, MA

  • Coordinate research conferences and workshops annually 
  • Meet with faculty chairs and/or external partners to understand conference needs, budget and event type according to the university classification
  • Proactively research, recommend, and plan conference logistics working as part of a project team
  • Manage event logistics from beginning to end of the event i
  • Coordinate development of conference/workshop attendee materials, and speaker presentations
  • Lead the development and delivery of signage, communications, and promotion that supports brand standards and best raises the visibility of the College and University.
  • Manage event budgets and track expenses, including setting up conference indexes, processing sponsorships, and reporting on status to faculty conference chair and College of Engineering Administration
  • Keep detailed records of each event on the Communications Events network drive and develop an Event Resource Guide
  •  Advise on and develop a schedule of event staffing coverage and lead support staff, volunteers, and student implementation teams assisting with events
  • Keep abreast of event planning policies, procedures and serve as a resource for the college in this area
  • Bachelor’s degree is required with a minimum of 3 years of conference and event planning experience, preferably in a higher education environment.
  • Requires a professional demeanor, excellent interpersonal and communication skills
  • Experience working with all levels within an organization including executives
  • A sense of urgency and ability to multi-task, strong attention to detail, and time management and organizational skills
  • Collaboration experience is a must as is a team mindset and experience working in and leading project teams
  • Budget management background, and expertise with Microsoft Office are required
  • Experience with InDesign and PhotoShop and writing/editing expertise are a plus
